Academic and Administrative Bodies with well defined roles have been constituted to ensure proper functioning of the institution under the guidance of the Principal.

Functions:
  • The administration of the college is vested with the principal subject to the general direction and control of the Board of directors of Toc H Public School Society
  • College Council is a statutory body to advice and to assist the principal in all academic matter
  • The Council secretary issues notice of council meetings in consultation with the principal.
  • Two days’ prior notice is given for usual meetings and urgent meetings are convened at short notice

  • This committee plans for the improvement of infrastructure of the Institute, modernization of the laboratory, Research & Development and Institute Industry Interaction etc.

A complaint from an aggrieved faculty/staff member relating to the institution shall be addressed to the chairperson, Grievance Redressal Committee (GRC).

Functions:

  • To ensure compliance with the provisions of AICTE Regulations dated 01.07.2009 (F.No.37-3/Legal/AICTE/2009 – regarding Prevention and prohibition of Ragging in technical Institutions) as well as the provisions of any law for the time being in force concerning ragging
  • To monitor and oversee the performance of the Anti-Ragging Squad in prevention of ragging in the institution.
  • To monitor violations of anti-ragging rules in campus and suggest disciplinary actions in such cases
  • To conduct enquiry of defaulter students and suggest quantum of punishment on the defaulter
  • Organize anti-ragging awareness programs in collaboration with district legal services authority (DLSA)
  • To take preventive steps by organizing anti-ragging awareness programs, issuing notices, warnings, instructions for regulating behavior of students

Once an academic year, before the commencement of First year B. Tech classes
Meetings are also conducted as and when a need arise

Ragging in any form is strictly prohibited inside and outside the institution. Any violation of anti-ragging rules should be urgently brought to the notice of the principal.

The important functions of the anti-ragging committee are as follows

Anti-ragging Squad

An Anti-ragging Squad is constituted to prevent ragging related issues in the campus. The squad members monitor activities at various locations where there is a possibility of juniors and senior meeting up. College buses and nearby bus stops are also monitored. Student council members are also part of this squad.

Display of Hoarding/Banners

Hoardings/banners are placed in prominent areas to make students aware of ragging consequences and to urge them not to participate in ragging activities.

Undertaking

Undertaking is taken from the students and their parents to desist from ragging.

Complaint Redressal Mechanism
The Anti-Ragging Squad conducts on-the-spot enquiry into any incidents of ragging referred to it by the Head of the Institution or any faculty member or any member of the staff or any student or any parent or guardian or any employee of a service provider or by any other person, as the case may be; and the enquiry report along with recommendations are submitted to the Anti-Ragging Committee for action.
The Anti-Ragging Squad shall conduct such enquiry observing a fair and transparent procedure and the principles of natural justice and after giving adequate opportunity to the student or students accused of ragging and other witnesses to place before it, the facts, documents and views concerning the incidents of ragging, and considers such other relevant information as may be required

Functions:

  • To promote awareness about sexual harassment through educational initiatives that encourages and fosters a dignified and safe environment for women on campus.
  • To provide a neutral, confidential and supportive environment for the campus community who may have been sexually harassed.
  • To ensure fair and timely resolution of complaints about sexual harassment
  • To provide information regarding counseling and support services on the campus
  • To ensure that students, faculty and staff are provided with current and comprehensive information on sexual harassment and assault. To conduct gender sensitization programme for the entire faculty staff and students

Sensitizes the female faculty members and students on the prevention and prohibition of sexual harassment of woman at work place. According the Supreme Court’s order, Sexual Harassment is any unwelcome, Physical contact and advances, Demand or request for sexual favors, sexually colored remarks, Display of pornographic content in any form, Any other unwelcome physical, verbal and non-verbal conduct of a sexual nature.

Functions:

The Cell is responsible for looking into any complaints filed by students/staff/faculty. According to the Hon. Supreme Court of India, definition of sexual harassment is any unwelcome sexually determined behavior, such as:

  • Physical contact and advances
  • Demand or request for sexual favors
  • Sexually Colored remarks
  • Any other unwelcome physical, verbal or non-verbal conduct of a sexual nature
  • The functions of the cell are purely to safeguard the rights of students, faculty and staff members and also to provide a platform for listening to their grievances. The Cell also tries to incorporate hygiene habits and ensure a healthy atmosphere in the college. It tries to equip them with the knowledge of their legal rights to redress their grievances.

  • Time to time, the cell conducts seminars and lectures by eminent speakers to create awareness regarding violence, sexual harassment at work place and about health and hygiene

Frequency of Meetings:

The Cell meets at least twice every academic year and the intervening period between two meetings shall not exceed six months
The Chairperson of the Cell can call a Special Meeting at any time on demand basis

Objectives of the Committee

  • To sustain the dignity of all employees and students.
  • To facilitate congenial working environment for employees so that any employee is not subjected to gender specific discrimination
  • To consider the complaints or grievances from faculty, staff and students and investigate them thoroughly within a stipulated time and recommend appropriate remedial measure
  • To ensure confidentiality and time bound response to the 8complaints.
  • To organize motivational and developmental activities to create awareness about concerned issues, amongst all the faculty, staff and students
  • To incorporate hygiene habits and ensure a healthy atmosphere in the college
  • To ensure personality development along with academic development of students.

Functions of the Committee

The Cell is responsible for looking into any complaints filed by students/staff/faculty. According to the Hon. Supreme Court of India, definition of sexual harassment is any unwelcome sexually determined behavior, such as:

  • Physical contact and advance
  • Demand or request for sexual favors
  • Sexually colored remarks
  • Any other unwelcome physical, verbal or non-verbal conduct of a sexual nature.

The functions of the cell are purely to safeguard the rights of students, faculty and staff members and also to provide a platform for listening to their grievances. The Cell also tries to incorporate hygiene habits and ensure a healthy atmosphere in the college. It tries to equip them with the knowledge of their legal rights to redress their grievances.

The cell conducts seminars and lectures by eminent speakers to create awareness regarding violence, sexual harassment and about health and hygiene

Complaint Procedure

Any employee/student can report their grievance either in written form or orally to any of the members of the Cell

Complaint Redressal mechanism

  • After understanding the grievance, the matter is discussed among the cell  members, and the Principal is informed about the case
  • The complainant is summoned to hear complaints, with permission from the Head of the Institution (if necessary).
  • After hearing the case, the committee gives suitable recommendations and suggestions to the complainant and a report is submitted to the Head of the Institution
  • Head of the Institution considers the report and takes appropriate actions in consultation with the Management

Functions:

  • Make all necessary arrangements for the smooth conduct of examinations as required by the University.

  • Ensure that all examination hall(s) have a clock, adequate light, ventilation, and sufficient furniture viz. desk, chairs, tables, benches. It should be clean and tidy
  • Prepare the list of candidates registered, day-wise and session-wise, based on the examination schedules
  • Appointment of invigilators for each session of the examination and issue appointment order well in advance.
  • Depute the required number of invigilators to each examination hall. One hall can be allotted for every 30 candidates, or part thereof, as far as possible.
  • Make sure that as far as possible, invigilators are allotted to the examination halls at random and that no invigilator shall have prior information of the Hall to which he/ she is posted
  • Preparation of seating charts
  • Display the Hall wise seating plan for the information of candidates at prominent places
  • Downloading and printing of question papers
  • Ensure that the examination halls are opened only 15 minutes before the commencement of examination and the candidates are permitted to enter the Hall 10 minutes before the Commencement of examination
  • Distribution of question papers and answer scripts.
  • Provide necessary facilities to the observer deputed by the University
  • Issue of attendance certificates to observer/squad/ any other officials
  • Updating examination related matters including absence entry, malpractice entry, spare barcode assignment, dispatch details etc. to the University portal
  • Reporting of malpractice to the chief superintendent and uploading the malpractice details and the decisions to the University portal
  • Ensure that all the answer-scripts confiscated in malpractice cases during the Examination session are packed separately in one bundle and marked “Malpractice Case” on the label
  • Collect the answer scripts, check them, count them and tally with the attendance
  • Send the answer-scripts to the University in sealed covers as per the prescribed instructions
  • Display the instructions to the candidates in the notice board of the examination control room
  • Safe custody of examination materials and stock register, invigilation duty register, observer/squad register, issue register, dispatch register filing of observer diary, packing details such as “consignment details” format, acknowledgement provided by postal department against each collection etc
  • Uploading of consignment details and dispatch register details
  • Any other examination related matters assigned by the chief superintendent

Objectives

The cell will take care of minority students with respect to:

  • Ensuring timely submission of minority scholarships.
  • Addressing and resolving issues of discrimination or grievances faced by minority students.
  • Keeping accurate records of minority student enrolment and academic performance.

Students belonging to minority community can approach the cell for any issues on the above and may register complaint regarding the same. The cell will meet once in a month and review all complaints received and take/suggest remedial measures.
